TPT Solutions Ltd (“we”, “us”, “our”) operates TPT Electrician ERP at electrician.tptsolutions.co.nz. We are based in New Zealand and are bound by the New Zealand Privacy Act 2020 (“Privacy Act”) and, where applicable, the EU General Data Protection Regulation (GDPR), UK GDPR, and other applicable privacy laws.

This Privacy Policy explains what personal information we collect, how we use it, and your rights regarding that information. By using the Service you consent to the practices described here.

2. Information We Collect

Information you provide directly

Account details: name, email address, phone number, business name, business registration number.
Billing information: credit card details (processed securely by Stripe — we do not store card numbers).
Business data you enter: clients, jobs, quotes, invoices, timesheets, expenses, inventory records.
Employee and contractor information you add to your account (names, hourly rates, timesheets).
Communications: emails or messages you send to our support team.

Information collected automatically

Log data: IP address, browser type, pages visited, timestamps, referring URLs.
Device information: device type, operating system, screen resolution.
Cookies and similar technologies: session cookies for authentication, and analytics cookies (see Section 6).
Usage data: features used, frequency of use, error logs — used to improve the Service.

3. How We Use Your Information

To provide, operate and maintain the Service.
To process payments and manage your subscription.
To send transactional emails (account confirmation, password reset, invoices, payment receipts).
To send product updates, new feature announcements and maintenance notices (you can opt out).
To respond to support requests and troubleshoot issues.
To detect and prevent fraud, abuse and security incidents.
To improve the Service through aggregated, anonymised analytics.
To comply with legal obligations.

We do not sell, rent or trade your personal information to third parties for their own marketing purposes.

4. How We Share Your Information

We share your information only in the following circumstances:

Service providers: Trusted third-party vendors that help us operate the Service — including Supabase (database hosting), Stripe (payments), and Vercel (hosting). These providers process data only on our instructions and are bound by confidentiality obligations.
Integrations you connect: When you connect Xero, MYOB, or other payroll and accounting providers, relevant data is shared with those services at your direction.
Legal requirements: If required by law, court order, or government authority, we may disclose information to comply with our legal obligations.
Business transfers: If TPT Solutions Ltd is acquired, merged or its assets transferred, your information may be transferred as part of that transaction. We will notify you in advance.

5. Data Storage and Security

Your data is stored on servers located in Australia and/or the United States, operated by our hosting providers. We implement industry-standard security measures including encryption in transit (TLS), encryption at rest, access controls, and regular security reviews.

No method of transmission or storage is 100% secure. While we take all reasonable steps to protect your information, we cannot guarantee absolute security. Please notify us immediately at support@electrician.tptsolutions.co.nz if you suspect any unauthorised access to your account.

6. Cookies

We use the following types of cookies:

Essential cookies: Required for authentication and session management. The Service cannot function without these.
Analytics cookies: Help us understand how the Service is used so we can improve it. These are anonymised and do not identify you personally.

You can disable non-essential cookies in your browser settings, though this may affect some functionality.

7. Data Retention

We retain your account data for as long as your account is active or as needed to provide the Service. If you cancel your subscription, we retain your data for 30 days to allow you to export it, after which it is deleted from our live systems. Anonymised, aggregated usage data may be retained indefinitely. We may retain certain records longer where required by law (e.g. financial records for tax purposes).

8. Your Rights

Under the New Zealand Privacy Act 2020 and other applicable laws, you have the right to:

Request access to the personal information we hold about you.
Request correction of inaccurate or incomplete information.
Request deletion of your personal information (subject to legal retention requirements).
Object to or restrict our processing of your information in certain circumstances.
Receive a copy of your data in a portable format (data export available in your account settings).
Withdraw consent where processing is based on consent (e.g. marketing emails).

9. Children's Privacy

The Service is intended for business use by adults aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you by email or in-app notice before material changes take effect. The “Last updated” date at the top of this page always reflects the current version. Continued use of the Service after changes constitutes acceptance of the updated policy.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner (New Zealand) or the relevant data protection authority in your country.
